Quick setup guide, tips, and common questions for using Timekeeper.

Set up, share links, and review time records

Use the slides below to walk through owner setup, worker access, time logs, and dashboard link safekeeping.

Answers before you start

Do workers need an app?

No. Workers use their personal worker link or QR code from a browser.

Do workers need accounts or passwords?

No. Workers use their assigned link or QR code. Owner dashboard access is protected by the owner PIN.

Are worker links and QR codes shared?

No. Each worker has their own personal link and QR code so time records stay tied to the correct worker.

What happens if I lose my owner dashboard link?

Your dashboard link is important. Bookmark it, email it to yourself, or download the dashboard QR code for safekeeping.

Can workers download their own hours?

Yes. Workers can download their own recent work history from their worker page.

Can owners export reports?

Yes, report exports are available on the paid plan.

What is Kiosk Mode?

Kiosk Mode lets a paid Timekeeper business create shared scan stations for jobsite or facility check-in. Workers scan their personal QR code at the kiosk to clock in, clock out, or transfer locations.

What devices work best for kiosk scanning?

Kiosk scanning requires a device/browser that supports camera-based QR scanning. Best results: Chrome on desktop/laptop, Chromebook, or Android device. iPhone/iPad/Safari support may vary by device/browser settings.

What happens if a worker scans at a different location?

If the worker is already clocked in somewhere else, Timekeeper closes the old location entry and starts a new entry at the kiosk location so hours do not overlap.

Does Timekeeper replace payroll software?

No. Timekeeper is a simple time tracking tool. It helps organize time records, but it is not payroll, tax, or HR compliance software.

Can I deactivate workers?

Yes. Deactivated workers are removed from the active worker view, but their existing records remain available in time logs and reports.

Is this best for trusted teams?

Yes. Timekeeper is designed for straightforward operations where simplicity matters more than enterprise-style access controls.

Keep time records simple and reliable

  • Bookmark your owner dashboard link.
  • Treat your dashboard link like a key to your business records.
  • Share worker links only with the assigned worker.
  • Use clear worker names and job/location names.
  • Test your kiosk device before mounting it.
  • Use Chrome on desktop, Chromebook, or Android for best QR scanning results.
  • Print worker QR badges clearly and avoid damaged or tiny QR codes.
  • Keep kiosk locations named clearly, such as Front Door, Warehouse, or Job Trailer.
  • Deactivate old kiosk links when a tablet or printed kiosk QR is no longer used.
  • Export reports regularly if you use reports for payroll review.
  • Use deactivation instead of deleting history when a worker leaves.
  • Keep the owner PIN somewhere safe.
